If you’re a sole trader or a CIS subbie clearing more than £50,000 a year, you’ve probably heard the rumblings for a while now. Well, as of April 2026, the rumbling has turned into a reality. Making Tax Digital (MTD) for Income Tax is officially here, and it’s changing the way you interact with HMRC forever.
At Makes Sense Accountants, we know that for most people, "tax" is a four-letter word that usually involves a frantic weekend in January surrounded by coffee cups and crumpled receipts. But MTD is designed to kill off that "January Panic" once and for all. The catch? You have to change how you work.
The biggest shift for any MTD – Sole trader is the move from one big annual Self Assessment to four quarterly updates plus a final declaration. If that sounds like four times the work, don’t worry. This guide is designed to show you exactly what to do first to get ahead of the game. If you need practical support, have a look at our Sole Trader services.
What Exactly Is MTD for Income Tax?
In the old days (which, let’s be honest, felt a lot simpler), you’d keep your books: maybe in a ledger, maybe on a spreadsheet, maybe in a shoebox: and tell HMRC what you earned once a year.
Under MTD, HMRC wants a closer look, more often. If you are a self-employed individual or a landlord with a total qualifying income of more than £50,000, you are now required to:
- Keep digital records of all your business transactions.
- Submit quarterly updates to HMRC using MTD-compatible software.
- Provide a final declaration at the end of the tax year.
It’s a digital-first approach. Paper is out; software is in. When you’re ready, you can also sign up directly through HMRC’s official MTD for Income Tax sign-up page.

Step 1: The Absolute "Do This First" – Go Digital
If you take only one thing away from this guide, let it be this: You cannot do MTD on a piece of paper. You also can’t really do it on a basic Excel spreadsheet unless you’re using specific "bridging software," which can be a bit of a faff.
The first thing you need to do is choose a software package that is "MTD-compatible." This is software that can talk directly to HMRC’s systems. Popular choices include Xero, QuickBooks, or FreeAgent. These platforms allow you to record your income and expenses as you go, which makes the quarterly submission as easy as clicking a button.
At Makes Sense Accountants, we’re big fans of making life easy. If you’re still using a notebook or a spreadsheet that’s seen better days, now is the time to migrate. Transitioning your data into a digital format is the foundation of everything else. Without digital records, you aren’t just behind the times: you’re non-compliant.

Step 2: Understand the Quarterly Timeline
For many MTD – Sole traders, the thought of filing "four tax returns a year" is enough to bring on a cold sweat. But here is the secret: A quarterly update is NOT a full tax return.
You aren’t doing complex tax adjustments every three months. You are simply sending HMRC a summary of your digital records: essentially your total income and total expenses for that period. You don't need to worry about things like capital allowances or complicated accounting adjustments until the end of the year.
Here are the deadlines you need to burn into your brain (or, better yet, put in your phone calendar):
- Quarter 1 (6 April – 5 July): Deadline 7 August
- Quarter 2 (6 July – 5 October): Deadline 7 November
- Quarter 3 (6 October – 5 January): Deadline 7 February
- Quarter 4 (6 January – 5 April): Deadline 7 May
By breaking it down into these three-month chunks, you actually get a much better idea of how your business is performing in real-time. No more guessing how much tax you owe in December; you’ll know exactly where you stand every quarter.

Step 3: Separate Your Business and Personal Life
If you’re still running your business expenses through your personal bank account, MTD is going to make your life very difficult. When you’re submitting quarterly updates, you need a clean feed of data. If your software has to filter through your weekly Tesco shop and your Netflix subscription to find a bag of cement or a new laptop, it’s going to take you ten times longer.
Do this now: Open a dedicated business bank account. Link that account to your chosen software. This creates a "Bank Feed," where every transaction automatically pops up in your software, waiting for you to just tick it off. It turns "bookkeeping" from a five-hour chore into a five-minute habit.
For sole traders, this is the single best way to stay organized and keep HMRC happy.
Step 4: The CIS Subbie Special – Don't Get Caught Out
If you’re a CIS subbie, you’re already used to having tax deducted at source. You might think, "HMRC already has my numbers, why do I need to do quarterly updates?"
The truth is, HMRC only sees what your contractor pays you. They don’t see your expenses: your fuel, your tools, your insurance, your van lease. Under MTD, you still need to report those expenses quarterly to ensure your projected tax bill is accurate. If you wait until the end of the year to tell them about all the money you’ve spent running your business, you’re missing out on the biggest benefit of MTD: seeing your true profit margins as you work.

Common Fears: "What if I make a mistake?"
One of the most common questions we get at Makes Sense Accountants is: "What happens if I submit my quarterly update and then realize I missed a receipt?"
Relax. HMRC knows that life happens. The quarterly updates are meant to be a "best fit" summary of your digital records at that time. If you find an error or a missing invoice later, you can usually just correct it in your digital records, and it will be picked up in the next quarterly update or reconciled in your Final Declaration at the end of the year.
The goal isn't 100% perfection every three months; the goal is consistent, digital record-keeping.
Why This Actually Makes Sense (Pun Intended)
We know change is annoying. But there are some genuine "wins" for you here:
- No more January surprises: You’ll know your tax liability throughout the year.
- Better borrowing: If you’re looking for a mortgage or a business loan, having up-to-date digital accounts makes the application process much smoother.
- Paperless life: No more lost receipts fading in the sun on your dashboard. Snap a photo on your phone, upload it to the app, and you’re done.
