Let’s be real for a second: the words "HMRC" and "Mandatory Change" usually result in a collective groan from small business owners across the UK. I get it. You’re busy running a business, chasing invoices, and trying to have a life. The last thing you want is a brand-new way to manage your taxes.
But here we are. It is Saturday, the 21st of March, 2026. If you are a sole trader with a qualifying income over £50,000, you have exactly 16 days until the Making Tax Digital (MTD) for Income Tax rules officially kick in on the 6th of April.
At Makes Sense Accountants, our whole vibe is about stripping away the jargon and making things, well, make sense. So, if you’re currently staring at a pile of receipts or a complex spreadsheet wondering where to start, take a deep breath. We’ve got you. This is your no-nonsense, quick-start guide to getting MTD-ready without the midnight panic.
Step 1: Do You Actually Need to Do This Right Now?
Before you start downloading software and stressing out, let’s check if this actually applies to you yet. HMRC likes to roll these things out in stages.
For the 6th of April 2026 deadline, you are in scope if:
- You are an individual registered for Self Assessment.
- You have income from self-employment or property (or both combined).
- Your qualifying income in the 2024-2025 tax year was more than £50,000.
If your income is between £20,000 and £50,000, you can stay in your lane for now, you won’t need to jump onto the MTD ship until April 2028. But if you’re in that £50k+ bracket, the clock is ticking.

Step 2: Understand the "New Normal"
Under the old system (which is technically still the "current" system for a few more days), you basically did a massive data dump once a year. You’d gather your records, file a Self Assessment by January 31st, pay your tax, and forget about it for another 12 months.
MTD changes the rhythm of your business year. Here’s the "New Normal":
- Digital Records: No more paper ledgers or just keeping everything in your head. You must keep digital records of every transaction.
- Quarterly Updates: Instead of one big tax return, you’ll send four "quarterly updates" to HMRC. This gives them (and you) a real-time view of how much tax you likely owe.
- MTD-Compatible Software: You cannot use the old HMRC online portal to type in your numbers manually. Your software has to talk directly to HMRC’s systems.
- The Final Declaration: You still do a final wrap-up by January 31st to confirm the year's figures, but the heavy lifting is done throughout the year.
If this sounds like a lot of work, don’t worry. Once it’s set up, it actually makes your life easier because you aren't scrambling in January to find a receipt from last May. For a deeper dive into the basics, check out our Sole Trader Tax Return Help 101 guide.
Step 3: Choose Your Software (Immediately)
This is the most urgent step. Because you are legally required to use MTD-compatible software, you can't really move forward without it. HMRC does not provide the software for you.
You need something that is "API-enabled." In plain English, that just means the software has a "handshake" agreement with HMRC’s computers. Popular choices include Xero, QuickBooks, and FreeAgent.
When choosing, look for:
- User-friendliness: If you hate the interface, you won’t use it.
- Mobile App: Can you snap a photo of a receipt while you’re out at a job? This is a lifesaver for staying on top of digital record-keeping.
- Bank Feeds: Does it link to your business bank account? If it does, it can pull in your transactions automatically, saving you hours of manual typing.
At Makes Sense Accountants, we’re big fans of tech that actually works for the human using it. If you’re stuck on which one to pick, drop us a message and we can point you in the right direction based on your specific business.

Step 4: Get Your Digital Records in Order
Once you have your software, you need to start using it correctly from day one (April 6th). For every transaction, HMRC wants to see three things:
- The amount.
- The date.
- The category (e.g., travel, office costs, stock).
The "category" bit is where people often trip up. You want these to match the standard Self Assessment categories to make your end-of-year declaration a breeze. Step 5: Sign Up with HMRC
Having the software is step one, but you also need to tell HMRC that you are ready to start MTD. You (or your accountant) need to sign up for the MTD for Income Tax service through your Government Gateway account.
Once you’ve signed up, you’ll "authorise" your software to interact with HMRC. It usually involves clicking a button in your software settings, logging into your Government Gateway, and saying "Yes, I allow this." It takes about five minutes, but it’s the bridge that makes the whole system work.
Why This Actually Makes Sense (The Silver Lining)
I know, I know. It feels like just another hoop to jump through. But there are some genuine benefits to MTD that will make your business run smoother:
- No More January Surprises: Because you’re updating things quarterly, you’ll know exactly how much tax you’ve accrued. No more getting to January and realizing you don't have enough saved for the bill.
- Better Cash Flow: Real-time data means you can see your profit and loss at a glance. You’ll know if you can afford that new piece of kit or if you need to push for more sales this month.
- Fewer Mistakes: Manual data entry is where errors happen. Automatic bank feeds and digital records mean your numbers are much more likely to be accurate, which keeps the tax inspector away. If you are ever worried about an enquiry, we offer specialized tax investigation support to keep you protected.
Special Note for CIS Sub-Contractors
If you work in construction and are part of the Construction Industry Scheme (CIS), MTD for Income Tax still applies to you if you hit that £50k threshold. In fact, MTD can be a massive win for CIS workers because it makes tracking your deductions much cleaner, often leading to faster or more accurate tax reclaims. We have a dedicated page for CIS sub-contractors if you want to see how this fits with your specific industry.

Summary Checklist: Your 16-Day Countdown
- Verify your income: Did you make over £50k in the 24/25 tax year? (If yes, proceed).
- Pick your software: Don't overthink it, just pick one that is HMRC-approved.
- Link your bank: Get those transactions flowing in automatically.
- Register with HMRC: Sign up via the Government Gateway.
- Connect the two: Authorize your software to talk to HMRC.
- Start snapping receipts: Use the app to digitize your records starting April 6th.
