If you’ve been running a business for a while, you’re probably used to Companies House being a bit like a giant digital filing cabinet. You pop your accounts in once a year, update your address if you move, and maybe check out a competitor’s balance sheet when you’re feeling nosey.
But as of 2026, the game has officially changed. We are currently in the middle of the biggest shake-up to UK company law in a generation. The buzzword on every director's lips? ID Verification.
At Makes Sense Accountants, we’re all about making the complex stuff simple. So, if you’re wondering why your inbox is full of alerts about identity checks or why Tim from the office is panicking about his passport expiry date, this guide is for you. We’re going to break down exactly what is happening, why it matters, and, most importantly, how you can get it done without the headache.
What is Companies House ID Verification?
In the "old days" (which, let's be honest, was only a couple of years ago), anyone could set up a UK limited company using pretty much any name they liked. You could be Mickey Mouse living at 10 Downing Street, and the system would often just wave you through.
Naturally, this was a bit of a playground for fraudsters and money launderers. To fix this, the government introduced the Economic Crime and Corporate Transparency Act. This turned Companies House from a passive recipient of information into an active gatekeeper.
Now, every single person who has a significant role in a company must prove they are who they say they are. This means a digital check against government-issued photo ID (like a passport or driving licence). Once you are verified, you get a "verified status" that stays with you for life, no matter how many companies you start or join.
Why the Sudden Rush? (The 2026 Deadline)
You might be thinking, "I’ve had my company for ten years, surely this doesn't apply to me?"
Unfortunately, it does. While the rules became mandatory for new companies back on 18 November 2025, we are now racing toward the deadline for existing businesses.
- The Hard Deadline: 18 November 2026.
- The Practical Deadline: Your next Confirmation Statement.
This is the sneaky part. Even though the final cutoff is late 2026, the law says you must be verified before you file your company’s next confirmation statement. If your statement is due next month and you haven't verified your identity, you’re going to hit a brick wall.

Who Needs to Get Verified?
It’s not just the "boss" who needs to do this. The net is cast quite wide. You need to verify if you are:
- A Company Director: Whether you’re the hands-on CEO or a non-executive director who shows up once a quarter.
- A Person with Significant Control (PSC): Usually anyone owning 25% or more of the shares or voting rights.
- A Company Secretary: If your company has one officially appointed.
- Relevant Officers of an LLP: All members of a Limited Liability Partnership.
- Anyone Filing Documents: If you (or an employee) manually file documents for the company, you need to be verified too.
If you’re a sole trader, you can breathe a sigh of relief for now, this specifically targets limited companies and LLPs. However, if you're thinking of incorporating soon, check out our Sole Trader vs Limited Company guide to see how these new rules might affect your decision.
How to Do It: A Step-by-Step Guide
The good news is that the process is actually quite slick once you get started. It usually takes about 10 to 15 minutes. Here is exactly how to do it so you don't have to call us for an explanation:
Step 1: Get the App
The easiest way is using the "GOV.UK ID Check" app. You can download it on your smartphone. It’s the same app many people used for their tax accounts or driving licence renewals.
Step 2: Have Your Documents Ready
You’ll need a valid form of photo ID. A UK passport is the gold standard because the app can "chip-read" it, but a driving licence works too. If you don't have these, you can still do it, but you might need to use the Post Office's in-person service.
Step 3: The "Liveness" Check
The app will ask you to take a photo of your ID and then a scan of your face. It might feel a bit like you're in a sci-fi movie, but it’s just checking that you are a real human and that you match the photo on your ID.
Step 4: Link to Companies House
Once the app confirms your identity, you’ll receive a verification code or a direct link to connect this "verified" status to your Companies House account.
Official Link: You can start the process directly on the Companies House Identity Verification page here.
What Happens if You Ignore It?
At Makes Sense Accountants, we’re friendly folk, but HMRC and Companies House are becoming much less forgiving. If you don't verify by the deadline:
- Rejected Filings: You won't be able to file your Confirmation Statement.
- Late Filing Penalties: If your accounts or statements are late because you were stuck in "verification limbo," you’ll still get hit with the standard late fees. You can read more about avoiding these in our blog on bookkeeping mistakes and deadlines.
- Company Strike-Off: In extreme cases, Companies House can start the process of dissolving your company if you consistently fail to file mandatory documents.
- Personal Fines: Directors can be personally fined for non-compliance.

How Does This Affect Your Accountant?
This is where things get interesting for us. Historically, we’ve filed everything on your behalf using our own professional codes. Under the new rules, we have to register as an Authorised Corporate Service Provider (ACSP).
By November 2026, only ACSPs (like us) or verified individuals will be allowed to file anything at Companies House. This is a great move for the industry because it stops "dodgy" agents from filing fake documents. It also means that when we file your CoSec (Company Secretarial) paperwork, Companies House knows the information is coming from a trusted, regulated source.
The Bigger Picture: Transparency and Trust
While it might feel like another bit of "red tape," there is a massive silver lining.
By cleaning up the register, the UK becomes a safer place to do business. When you look up a potential new supplier or partner, you’ll be able to see a "verified" tick next to their directors. It builds instant trust. It also makes life much harder for identity thieves who might try to "hijack" your company by filing fake changes to your directors or registered office address.
This move toward digital verification is part of a much wider trend. From Making Tax Digital (MTD) to automated CIS returns, the world of business admin is going 100% digital. If you’re feeling a bit overwhelmed by all these changes, you’re not alone. Our guide to mastering MTD is a great place to start catching up.
FAQs: Things Our Clients Often Ask
"Does my home address have to be public now?"
No. While you have to verify your identity, your home address can still be kept off the public record if you use a service address (like our office) for your directorship.
"I live abroad. Can I still verify?"
Yes, but it might take a little longer if you don't have a UK passport. You may need to provide notarized documents or use an international verification service.
"What if I don't have a smartphone?"
You can use the Post Office's face-to-face verification service, though there is a small fee for this.
"Is this the same as a tax investigation?"
Not at all. This is purely administrative. However, if Companies House finds inconsistencies in your identity, it could trigger questions from other departments. If you’re ever worried about an HMRC enquiry, our Tax Investigation Support page explains how we protect you.
How Makes Sense Accountants Can Help
We know you’ve got a business to run. You don't want to spend your Saturday afternoon wrestling with facial recognition software or reading government white papers.
That’s why we offer comprehensive Company Secretarial services. While we can’t take the selfie for you (the law says you have to do the actual ID check), we can:
- Guide you through the app setup.
- Check your Companies House record for any errors before you verify.
- Ensure your Confirmation Statements are filed the second your verification is complete.
- Act as your Registered Office to keep your personal data private.
