PAYROLL MANAGEMENT

If your business has reached the stage where you now need to hire staff
or you’re thinking of hiring staff, here is a quick how-to guide
for getting them registered and set up for payroll.

  • You need to register as an employer with HMRC when you hire staff or use sub-contractors for construction.
  • You must register before they start work. The registration can take up to 2 weeks. You can’t register more than 2 months in before you process the payroll.
  • Even if you’re just employing yourself as the only director of a Ltd company you will still need to register a payroll with HMRC

Adding Employees to Your Payroll

Now you are registered for PAYE, you need to add your employees to the payroll. You will need the following information from your new employees:

  • Date of Birth
  • Full Address
  • Gender
  • Start Date

From your employee’s P45, you’ll need their

  • Full Name
  • Leaving Date from their last job
  • Total Pay and Tax Paid to date for the current tax year
  • Student Loan Deduction Status
  • NI Number
  • Existing Tax Code

You must keep this information in your payroll records for the current year and the following 3 tax years.

If they do not have a P45, get them to complete a new starter check list.
They need to print off a copy and give to you and this will determine their tax code.
